• Coordinate the full day-to-day operations of the station/depot, overseeing storeroom activities, staffing, facilities, and vendor relations to keep the site running smoothly. • Control the physical flow of stock moving into and out of the station, maintaining accurate bin cards, Goods Received Notes (GRNs) and issue vouchers/requisition forms for every movement, with proper authorization and audit trail. • Carry out weekly physical inspections and quality checks on stock in conventional and technical stores, evaluating commodities against official standards such as EAS 2:2017 (maize grains) to confirm products meet required standards before storage and issue. • Reconcile physical stock against inventory records using the NCPB ERP (Navision) system, maintaining variance registers to track and correct discrepancies from spillages, top-offs, short weights, or standardization. • Implement the NCPB dual-lock security policy to safeguard primary source documents, including Delivery Instructions (DIs) and Payment Vouchers (PVs). • Facilitate the NCPB Warehouse Receipt System (WRS), enabling farmers to deposit grain and receive electronic warehouse receipts used as collateral for bank loans. • Lead and train all depot staff, providing day-to-day guidance and completing performance evaluations. • Inspect storage facilities regularly, coordinate repairs, and carry out risk assessments to identify safety threats and apply preventive measures. • Deliver training on regulatory compliance and monitor adherence to health and safety regulations, reducing workplace incidents. • Manage commercial storage leasing to millers, traders and third-party clients — including partners such as One Acre Fund and the Kenya National Trading Corporation (KNTC) — administering contracted capacity, documentation and loading rules. • Investigate complaints, apply corrective actions, and prepare detailed stock and performance reports for senior management.
